Dear Sir,
COMPLAINT ABOUT UNSANITARY CONDITION OF THE SCHOOL TOILETS
I am writing on behalf of the students of Senior Secondary School Three (SSS 3B) to express our deep concern regarding the unsanitary state of the school toilets. This situation has persisted for several months, and it is beginning to pose serious health risks to the entire student body.
Sir, as you are aware, the school toilets are essential facilities that every student depends on daily. Unfortunately, the present condition of these toilets is nothing short of deplorable. The floors are constantly wet and slippery, the flush systems in many cubicles are broken, and offensive odors linger throughout the day. In some cases, the doors cannot even close properly, thereby denying users their privacy.
This unhygienic situation has already started affecting the students negatively. Many of us avoid using the toilets during school hours, which causes severe discomfort and distracts us from concentrating in class. Some students have even reported cases of infections and stomach upsets believed to be linked to the poor sanitary conditions. Worse still, the filthy state of the toilets sends a bad impression to visitors, especially parents and examiners, who may question the standard of care in our school.
Sir, we sincerely believe that this problem can be solved if urgent steps are taken. We therefore wish to suggest the following measures:
- Immediate Repairs – The broken flush systems, doors, and plumbing should be fixed without delay.
- Regular Cleaning – A daily cleaning schedule should be strictly enforced, with janitors assigned to monitor the toilets at different intervals.
- Provision of Supplies – Toiletries such as soap, disinfectants, and tissue paper should be made available at all times.
- Student Sensitization – Students should be enlightened during assembly on proper toilet use to avoid littering and misuse.
- Supervision – Prefects or staff should periodically inspect the toilets to ensure they remain in good condition.
Sir, we are confident that once these measures are implemented, the problem will be solved, and the health and dignity of students will be preserved. We kindly appeal to you to give this matter urgent attention so that our learning environment can be improved.
Thank you for your understanding and anticipated action.
Yours faithfully,

What Examiners Want to See
- Correct Format – student’s address, date, school authority’s details, proper salutation, and closing.
- Polite but Firm Complaint – show respect for authority while stressing the seriousness of the problem.
- Detailed Problem Description – examiner expects clear examples of the unsanitary state.
- Realistic Solutions – repairs, cleaning, supervision, and provision of supplies.
- Logical Flow – problem → effects → solutions → appeal.
- Formal Tone – no slang or casual language.
Tips for Students
- When complaining in a formal letter, always be polite but firm.
- State specific problems (broken flush, foul smell, etc.), not vague complaints.
- Offer practical suggestions instead of just blaming.
- Keep the letter well-structured and respectful, since it is to a headteacher.
- Always write in the collective interest of students, not just yourself.
